Chapter 8 · Money

Program budgets, expenses and claims, kept against the work they fund.

Money in StreamBuild exists so that a claim to your funder is assembled from records you already keep, rather than rebuilt in a spreadsheet each quarter. It covers the program budget, the expenses charged against it, the claims made to the funder and the receipts that support them.

If you are deciding

You can see what a program has spent against its budget, by account code, today, rather than at quarter end.

If you use it daily

Expenses are entered against account codes as they happen, with the receipt attached. The claim is built from them.

If you are doing diligence

Budgets, expenses, claims and receipts are records like any other, written through the same audited write path.

Budgets
The program’s approved budget by account code, for the agreement period.
Expense register
Each expense against an account code, with its date, amount and the receipt file.
Claims
A claim to the funder assembled from the expenses in its period.
Receipts
Files stored against the expense they support, so a claim line can be traced to its evidence.

Budget against expenditure by account code
FIG. 13 The program’s funder report. Approved budget, spend and remainder for every account code over the reporting period, assembled from the expense register rather than retyped. Program accounting exists.

What this does not do

  • There is no forward-looking spend forecast and no projected variance. StreamBuild reports what has been spent, not what will be.
  • It is not your general ledger. It keeps program accounts for funder reporting; your accounting system remains the book of record.
  • Claims are assembled in StreamBuild. Submission to the funder happens through the funder’s own process.
